Surfing Australia

Streamlining Xero data into a high-performance analytics ecosystem to drive financial transparency across departments and grants.

Overview

Surfing Australia, the national governing body for the sport of surfing, manages complex financial operations involving multiple departments and various grant funding sources. Since 2019, Report Simple has partnered with Surfing Australia to evolve their reporting from manual, time-consuming processes into a sophisticated, automated business intelligence suite. By leveraging a modern data stack including Xero, StitchData, Google BigQuery, and Power BI, Surfing Australia now operates with a single source of truth for all financial and operational data.

Challenge

Prior to the transformation, Surfing Australia faced several hurdles common to growing organisations managing diverse revenue streams:

  • Manual Data Handling: Reporting involved significant manual effort to extract data from Xero, which was prone to errors and delays.

  • Complex Data Modeling: Building accurate Profit & Loss (P&L) statements with Year-To-Date (YTD) calculations was difficult due to the complexity of the underlying data structures.

  • Fragmented Visibility: Tracking financial performance across specific departments and grants required intensive reconciliation, making it hard to identify the root causes of variances in real-time.

  • Scalability Issues: As data volumes and the need for more granular tracking grew, traditional spreadsheet-based reporting could no longer keep pace.

Solution

Report Simple implemented a robust, end-to-end data architecture designed for scalability and precision:

  • Automated Data Pipeline: We engineered a seamless ETL process using StitchData to pull financial data from Xero directly into Google BigQuery.

  • Advanced Data Modeling: Within BigQuery, we built a relational data model that connects actuals and budgets with key dimensions like Dates, Departments, and Grants.

  • Interactive Power BI Suite: A multi-page reporting environment was developed, featuring:
Automated P&L: Dynamic views comparing Actuals vs. Budget and Last Year performance.
Variance Analysis: Dedicated pages for Revenue, Expenses, and Net Profit to pinpoint discrepancies instantly.
Department & Grant Tracking: Granular filters that allow stakeholders to see exactly how specific funds are being utilised.
Transactional Drill-Down: The ability for users to click through high-level summaries to see the underlying Xero transactions.

  • Team Empowerment: Beyond the technical build, we conducted workshops and coaching sessions to ensure the internal team could manage and interpret the data effectively.

Result

The shift to a data-first culture has delivered significant operational benefits for Surfing Australia:

  • Total Automation: What once took days of manual effort is now refreshed automatically, ensuring the board and management always have the latest figures.

  • Enhanced Financial Control: The integration of Grant-level tracking has provided unprecedented visibility into cost centres, ensuring strict compliance and better resource allocation.

  • Faster Decision Making: With "Transaction Analysis" features, the finance team can investigate and resolve discrepancies in minutes rather than hours.

  • Scalable Infrastructure: The move to a BigQuery data warehouse ensures that Surfing Australia’s reporting capabilities will continue to grow alongside the organisation.

Conclusion

By moving away from static spreadsheets and embracing a modern, automated data stack, Surfing Australia has revolutionised its approach to financial management. The long-term partnership with Report Simple has turned data into a strategic asset, providing the clarity needed to support the growth of surfing across Australia - from grassroots programs to elite high-performance teams.

Our partnership with Report Simple since 2019 has been a game-changer for our financial transparency. They took our complex Xero data and built a sophisticated Power BI ecosystem that gives us real-time insights into our grants and departmental performance. We no longer spend time 'building' reports; we spend it making informed decisions that drive the sport forward.
